Subscriptions and Memberships – why we offer them and who benefits most.

Customer loyalty is extremely important to any business that wishes to stay in business. Customer retention is a measure of success. Most businesses won’t discuss these things with potential or even existing customers. Yes, they may say “We succeed in customer loyalty”, but that’s just a means to essentially say, “Everybody else likes us, you should too!”

Subscriptions and Membership programs, offered by any seller/retailer, are relied upon to create a baseline of how the business is doing in both loyalty and retention. They are also important in understanding habits, likes, and production needs. This work as a trade off by giving the customer a perk or benefit for their participation.

About Subscriptions

Offering subscriptions on the items that are most commonly re-purchased by a customer allows us to plan our inventory and ensures a level of customer retention. By subscribing the customer not only receives a discount on the product, as well as assurance that they will have the product they need when they need. Having a subscription service that allows flexibility for the customer gives them opportunity to tweak or adjust when and what they receive with each shipment can add to their value.

For example, a customer can purchase a Beard Oil subscription with a specific “favorite” scent in mind. If they wish to try another fragrance they can change their scent option before their next shipment. When necessary, a customer can suspend the replenishment at any time, or even cancel it altogether. You are not locked in!

Subscriptions ensure you have what you need when you need it without having to remember to do it.

About Memberships a.k.a. Rewards Program

Memberships come in different forms and have a lot of different names. In most cases, you are required to sign up to create your account to receive benefits.

  • Earn “points” to be exchanged for cash discounts later%. These are usually free to take part, but some do charge fees.
  • % Cash back. Used by Credit Cards. You may not actually get cash back, but can apply it to your balance or as gift cards to other businesses. This is paid for through a higher APR% on your account balance.
  • Make a specific number of purchases and get the next one free. Often used for drinks or other food items.
  • Receive a lower listed price on select items throughout the store. Uses a card that is scanned at checkout. Often used by grocery stores. In some cases, everyone gets the same price regardless of membership.
  • Pay an annual fee and receive an assortment of perks and discounts.

Let’s look at what is most likely a membership program nearly everyone is familiar with, Amazon Prime. Prime is an enormous multifaceted membership program. It promises lower prices, free shipping with shorter fulfillment times; along with other services like media streaming. They don’t do this for free, you need to pay an annual fee to receive these benefits.

Why is nearly every seller out there offering some sort of membership program?

One part is that they are able to influence you to shop with them exclusively, or more often. In some cases, customers will be exclusive to them. But that is an extreme expectation. Studies have shown that customers are more likely to return to a business they have a membership with, as long as they receive good service when doing business with them.

A hidden component is that the majority of these plans have a hidden mission. Through your membership they can track what you buy and how you pay. This data is compiled and shared with other businesses; often for a price. They have all the information they need – name, address, phone numbers, and email. Depending on the plan, they may also learn your age, gender, race, relationship status, family and residence details. Once you make your payment, they can learn your income level and other financial information. All this information is used for marketing to you as well as establishing various demographic profiles used by businesses and government.

How our Membership Plan is different:

We charge an annual fee. In return, you receive a 10% discount on all items we make, 5% on other items; Free Shipping on every order; a bunch of free products to try and share; special Members Only items.

Your personal information is kept secure and private. We take privacy seriously! What information we have access to is used to process your orders and contact you if there are any questions. You are not added to our mailing list, but we may mail special members only information to you. There is also nothing to really manage, but you do need to have a user account for the duration of your membership. Add the plan to your order and you will immediately benefit – qualifying items in your cart will be discounted and have free shipping. The gift pack will ship with your order, no need to even add it to your cart.

Why do we charge a fee? We look at it as a partial up front payment of shipping fees. The free gifts help sweeten the deal. By paying, you will want to get the most money out of it – to earn back as much of that fee as you can, or more. And simply, it allows us to offer this plan without a hard hit to our bottom line.

Using Subscriptions and Memberships together:

Here is where having a Membership can be a huge benefit. With so many of our most popular and often re-ordered products being available as a subscription, you can save even more! Our subscriptions items usually have a modest discount included, then you can save 10% on top of that. Then, for as long as your membership is active, you will receive every order without paying for shipping.

Who benefits the most from these plans?

Our mission is to make shopping with us, getting the products you enjoy the most, more attractive and rewarding. Subscription benefits are up front and immediate; designed to make it mindlessly easy for you to always have your favorite products on hand. With a membership, you save money on every purchase. In just a couple orders, you will see a big savings by being a member.

When combined is where we see the biggest benefit for us. By selling a higher volume of products, with more frequency, we see a more stable/predictable sales trend. The more these are used by more customers, we can start buying our materials and ingredients in larger quantities. We can also streamline our production capacity to handle the higher demand. This leads to us becoming a more efficient enterprise and the savings will likely get passed along in many of our products.

Transparency

We have a very different view of how a business operates and communicates. It is a no-brainer that any seller is doing it to make money. And, that the more they sell the more money they make. Being a tiny business our profits are tight, leaving little revenue to pay for big advertising. Honestly, the more customers we have that take part in these services helps us budget more reliably and create more effective plans for growth. Your trust in us, demonstrated through your loyalty, brings stability to our business. The best way to make it all happen, is to encourage more folks to shop with us and reward those who wish to shop more frequently.

Changes to payment options

PayPal has long been a trusted gateway for many buyers and sellers since the earliest days of eCommerce. At that time, setting up a credit/debit card system for a website was costly and difficult to integrate with small business websites. It was seen as trustworthy, with numerous protections for those on both sides of a transaction.

In recent years, many options have become available that are as secure or more so, integrates seamlessly into modern websites and are competitive fee structures. Today we offer 2 channels for you to pay for your order: Stripe and PayPal. Stripe was founded to be a simple to use robust payment gateway for all sizes of eCommerce businesses. They use the latest in technology to protect your identity and credit; along with superior fraud protection that exceeds US and International guidelines.

We have used Stripe (follow link to get a snapshot of the company) since we launched our website. For us, on the back end, they are fast and reliable. We chose Stripe because of all the benefits mentioned above, as well as they were one of a very few payment gateways that would allow use of credit cards from outside the USA. This would permit us to accept orders from Europe and Canada just as easily as any within the US. With Stripe, we could even take BitCoin as a payment method if we choose.

PayPal has continued to grow and acquire other businesses to reach the level that Stripe holds. But, their policies and fee structure is no longer a benefit for us. In fact, their policies put us at risk of fraud through abuse of questionable loss claims. We are given no tangible protection when this happens. Along with other issue that affect our bottom line and efficiency of processing transactions, we feel that PayPal is a redundant payment option and does not offer the security for you that you deserve, as well as for us. It is also used in less than 10% of our transactions.

Effective March, 20, 2020 we will turn off the PayPal payment gateway.

We understand that many feel more secure using PayPal. By using Stripe you are getting even more protections from identity theft and fraudulent account activity. Once we remove PayPal, we hope to turn on Apple Pay and Google Pay as another way for you to enter your payment information with added security. Such payment methods only adds to the ways we can process your payment and does not require an additional payment gateway.

For those that prefer PayPal, do rest assured that we take your protection seriously. Those that work here never see any part of your credit card information, not even the last 4 digits. Stripe handles all that and in full accordance of US banking laws. Once they validate the legitimacy of your payment, we will receive your order with an attached approval code. All your credit protections that your bank offers are enforced.

Our current Beard Care and Lotion promotion will end on November 23rd. This will be the absolute lowest price on our Beard Oils you will see for months to come!

On Wednesday November 27th, we will begin our THANKSGIVING WEEKEND promotions. There will be select items on sale from across all our entire catalog. It will also be the beginning of our FREE SHIPPING on all orders over $25. Due to the expense involved, there will be an order premium placed upon SHOWER WASH and PET SHAMPOO due to the higher weight of the items. This premium is a $1.00 price increase on each unit.

PRIMP & JOL CLUB: we will introduce a 3 month TRIAL membership to allow folks to see the benefits of this savings plan. This special limited membership will have all the same savings built in, but you will get a smaller welcome gift. This will launch in December and will be available until January 4th.

SHIPPING

We will continue to ship all domestic (USA) orders via USPS. This offers more of a value, and more package security, than any other means available to us. Expedited Shipping will not be an option.

We are offering GIFT WRAPPING as a service this year. We will have 1 color option of a solid red wrapping. Wrapping will include wrap, gift tag (with a brief note). An individual item is only 50 cents, 35 cents each for multiple items when wrapped together. You can either select to have each item wrapped separately, all together in one box or a mix of both. Ensure you select the correct options when selecting each item.

Gift orders: If you wish to have an item sent as a gift to another address, please ensure accuracy of the SHIP TO address. Please note in the ORDER COMMENTS box any extra details, like NO PACKING SLIP or delivery instructions for carrier.

If you wish to have multiple orders go to more than one location, please contact us so we can assist this process. We can offer the best possible means to accommodate your wishes and do so with a single payment transaction. If you do place the orders through our website, please do a separate order for each SHIP TO address. We will not be able split orders for shipping.

Gift Credit (Gift Cards) We have varying denominations or create your own value for Gift Credit. Gift Credit works by assigning a credit value to an account that the recipient can use anyway they wish. Don’t worry if the person you are gifting to does not have an account. All you need to do is provide a valid email address for the recipient and they will receive instructions on how to access their gift. If you have any concerns or questions, please contact us.

RETAIL – POP-UPS

We do not have a POP-UP store this holiday season. If this changes anytime soon, we will certainly share the news. The situation that permitted us to have such a shop last year is not available to us.

There will be a one day appearance in JARVIS SQUARE neighborhood on DECEMBER 7th. Details will be on FACEBOOK for time and exact location (when available). We will only have a limited amount of space, so we will focus on our most popular items for this appearance.

We will work with our current resellers in Chicago to make sure they are well stocked on the items they offer. Currently we do not have a retailer that carries J&L Apothecary products. We are open to the idea of having retailers have us visit for a day or two to operate as a “trunk show”. Please contact us if you have any questions.


Some fine print: Due to product availability we may be forced to change promotions and sale items. It is important to us to not disappoint you by not being able to ship a product we presented as being available. We also reserve the right to change terms listed here based upon typos and errors – although we try to proofread this as much as possible. We are currently working on some improvements and modifications to the existing Primp+Jol Club. Soon you will see it called Primp+Jol Full. As you may guess from the name change that there will another level of our Loyalty & Rewards program. Soon we will introduce Primp+Jol Club Basic with limited perks. All current members will automatically become Primp+Jol Club Premium members and will only see an increase in what items their discount will apply towards. In response to a need to reward our most loyal customers, we wished to create something that not only satisfied our existing customers but made it easier for new customers to become one of our most loyal customers as well.

With Shipping Fees being a hurdle for some when shopping online, we wanted to make it mindlessly easy for shoppers to order without fearing the shipping rates. Although we have low affordable rates, it can appear as sticker shock to some at checkout which leads to abandoned carts and potentially dissatisfied potential customers. By building in Shipping Fees into a membership club helps remove the shock. Changes to US shipping rates

This year a dramatic increase to USPS shipping rates took effect. This increase was even more than we had anticipated. Our recent price increases on a few items was motivated in part by the anticipated postal rates increase; which we based upon the percentage of increase for 2018. These new 2019 rates increased 3 times what we had planned.

Until we are able to create a shipping rate structure that applies a fair discounted rate for all without necessitating an increase to the prices of our goods, we have decided to cease the “Free Shipping for orders over $50” option.

To be transparent on this topic. The heaviest items we make are also the items with the smallest profit margin. Any order that contains one of these items costs no less than $11.00 to ship and completely erodes any money we make if that order qualifies for free shipping. The lowest USPS rate we pay for Priority Mail is $8.00, Parcel Select is $4.00, with rates going as high as $18 for our largest orders. We do not treat Shipping Fees as a profit generator, nor do we wish to inflate prices for all, and it is a necessity that our online prices match our retail prices.

This past summer we introduced a $3 “Saver Rate” that applies to any order that only contains our lightest of products – no matter how many are in your order! At the same time we added an $8 rate if an order contains our heaviest of products. Our $5 rate is applied to any order that contains our lightest of items along with our “average” weight products. We feel that these rates are rather fairly distributed and help keep costs down for our products while providing a value to our online customers.

We rely upon USPS as our carrier for many reasons. Not only are their rates far lower than UPS and FedEx., their services integrate flawlessly with our eCommerce system. Most often, our packages will fit in your mailbox. For those that live in dense urban areas, there is a higher chance your package will get to your home when you are not there, not tag left on the door. To date, we have never had a complaint about a package tossed over a fence, hidden behind a bush or stolen off the porch. USPS provides reliable tracking and if you use their mobile app you can get consistent updates on your order’s journey to you. I personally have worked in Shipping, Receiving and Fulfillment for longer than I care to mention and I can tell you many reasons why USPS is far better to work with, even when they mess up.

There is discussion among us here at J&L about creating a Membership Plan, akin to Amazon Prime, where you get free or greatly reduced shipping and modest discounts on our most popular items. Once we iron out the best price to charge for this service and exactly what the policies will be, it will be brought to you to give us more feedback. This may be the only way we can provide Free Shipping to our higher volume customers.

To our Chicago friends:

At one point in time we offered a Free Pick Up option that allowed you to save on shipping at pick up your order at one of our resellers. We unfortunately had to end this arrangement when the reseller stopped promoting our products due to changes in their business focus.

It was very sad for us to loose this reseller for many reasons, but it is really sad that we can no longer offer this option. We are continually looking for a means to bring this option back as soon as possible.

We cannot offer Pick Up from our offices. We are a very tiny business where our offices are not in a facility that permits public access, nor do we maintain hours that would be compatible with most. We generally leave our offices the same time most other people leave theirs. During the day we may be in production at one of our “drop in” facilities we use making it even more difficult to pinpoint a reasonable time for us to be available. In essence, it is a logistic nightmare trying to track us down during the day. 

Knowing all these issues is why we are working diligently to open a retail and production space that is all ours where we can have published hours of operation where you can come to browse, try and buy directly from us.

This scenario is why we created the Saver shipping rate. This $3 flat rate is applied when your order is below our Free Shipping threshold and all items in your order are light weight and small in size – must be below 14 ounces. With most of our products being 5 ounces or less, this means we can pass along the lower shipping rates to you when possible.

A note about our shipping rates:

Minimum postage we pay USPS for most packages is $7.25. A package going to the west coast can easily be more than $15.00. We are still too small to qualify for any bulk discounts from any carrier. Our Flat Rate Shipping is now $5 for orders under $50. This means we have to roll $2.25 into the cost of the goods we make and sell. The fee does not cover the cost of shipping labels, packaging and other incidentals. We know other online sellers offer flat free shipping on all orders. In most cases they are comparatively more expensive and ship a higher volume therefor paying less to ship. To offer free shipping on all orders we would have to raise the prices of our goods, not only online but in pop-ups as well.

What is Expanded Assortment?

For us, it is a means to offer more without having to maintain an inventory of made goods to satisfy potential sales. It is a way to give you more options with a touch of “Made for You” built in.

Over the years we have made limited run Special Edition fragrances that were well liked. We also produced some great scents that were really liked by some, but not well enough to keep making it to have on hand for sales.

With changes to how we produce our Beard Oils, we can now support a custom scenting option that would ensure you still get a quality product in a timely manner and permits us to offer these rare scents to expand our assortment of products available. There will be a small price increase for these offerings as it does add a step to our making and order fulfillment processes, and some of these scents do use pricier essential oils as well. The price will be $16.00 per 30 ml bottle, $1.00 more than the rest and still less expensive that most higher quality Beard Oils out there.

In coming weeks we will be adding up to 8 new scent options and reclassifying 4 current scents to be part of this customization feature. These will look just like the rest, but you will know it was scented just for you!

It is part of our way of offering you more for less than other premium beard care makers out. Helping you find that perfect way to express yourself. It is why we say “Be You: Be Epic!”

Q: What happened to the PayPal option at checkout?


A: We have removed PayPal as a payment option as they do not accurately support subscriptions with recurring billing. Although this is noted as a feature by PayPal there are too many reported errors caused by PayPal that decline the payment as it is presumed to be fraudulent. This causes sellers to be banned from PayPal and creates other complications. When this happens it will cause delays in us receiving payment as well as shipping. This is well documented with our eCommerce software and on PayPal forums. Since we cannot turn off PayPal for select order types so we had to remove it entirely.

We are aware that PayPal is well trusted for many consumers and may affect your decision to do business with us. Do be reassured that we take your personal information protection seriously. For that reason we use Stripe as our main payment gateway. Stripe is noted as being the most secure payment processing gateway there is and specializes in secure web based services. They utilize many powerful fraud detection tools to protect your payments and block questionable activity. Also, our site is fully PCI compliant and rated A+ for security as well.

If PayPal is able to improve their processing systems to smoothly support recurring billing for all trusted eCommerce systems without internal errors we will reactivate PayPal as a payment option at that time.

Subscriptions Now Available

It has been the biggest request of customers since we launched our first web store and it is finally available. Here are some details about our subscriptions that will serve as a FAQ on the subject as we go forward.

What is a “subscription”?

It is a means to receive your most used items; replenished in timely intervals based upon your selection at the time of purchase. For example, get a new bottle of your favorite beard oil formula and scent every other month without having to remember to place a new order. We will also introduce a “membership” plan that will consist of assorted items we curated to introduce new items to you as a means to test before you buy. These gift items will often be a smaller version of our regular items. We hope to have this ready Fall 2018.

When can I start my subscription?

Today. All Beard Oil formulas, Original Beard Butter and Shower Wash are currently available. Other items will be added over time, like Shampoo Bars and Bar Soaps. Check our Subscriptions Category regularly to see what has been added.

What other products will be included?

Other than what we have listed above, we hope to include all routinely consumed products that are most often reordered to ship in a cycle that suits your needs. Your feedback will let us know what more to offer.

How will I be billed?

The payment method you used at time of purchase will be billed each time we ship your order, based upon the cycle you selected. All orders will ship within a 5 day window on the day of the month you created your subscription. Holidays and weekends will affect the date. If you wish to change your payment method, you can do so before the item goes into order status for your next shipment. Currently, we do not allow subscriptions to be purchased via PayPal due to their restrictions and unreliable processing.

How & when will I receive my subscription orders?

At every interval that we are to ship you a new item you will receive notice that an order is automatically generated. This is also the same time your payment method will be applied. We will ship your order via US Mail within 5 days of the renewal day of each month that you are due to receive your order and once payment is authorized. We will ship your first item within 3 days of receiving your order. Your next item will then be shipped in the next scheduled month according to your cycle. We may combine your subscription orders at our discretion if you have more than one subscription processing near the same date.

Can I change the item once I have started my subscription?

Partially. You cannot change the formula/core product but you are able to change the scent option within that formula. This is managed through your Account Page. You will not be charged any fee to make this change. If there is a price variation you will see an adjustment to your next order/billing date.

Why do you charge a processing fee for subscriptions?

Credit Card processing requires a charge to “activate” the subscription at the time of creation or it will not support an automatic billing cycle for you. The modest charge is applied to cover the set-up of your subscription and satisfy the demands of the banking industry. Do note, that some of our subscriptions are priced below our regular price without the shipping portion added. We want this to be a value service for a loyal customer!

Can I purchase a subscription as a gift to be sent to someone else?

Definitely! All you need to do is complete the Shipping Address for the person you wish to receive the item. The easiest way is when placing your order ensure the gifted item is the only item in your shopping cart, otherwise all items will be shipped to that address. If you wish to complete 1 order to ship to more than 1 address, please email us at support@pogonotrophics.com with details of what your needs are and we can reply or call with instructions on how to complete your order. Sorry, at this time we do not offer gift wrapping or gift notes for orders – hopefully we will before long.

Will the price change on my item during the subscription period?

The price you agreed to at the time of entering into the subscription is the price you will pay for the duration of your subscription until renewal. The first interval after renewal will be at the new price for that item subscription. All subscriptions are capped at a 12 month/ 1 year term length and will require you to renew to continue.

What if my product becomes discontinued or is no longer available?

Although we will do our best to ensure the product your ordered for the duration of the subscription is active and in-stock, there are situations that may force us to delete an item. If for whatever reason we no longer produce your subscription item we will notify you of the issue and what your options may be. If it is scent option related, you can simply change your preferred scent. If the core product or formula is not available you may be provided with suggestions for another formula or the option to cancel your subscription. We will work with you to change your subscription and avoid that $1.00 set-up fee.

Can I apply a discount or a coupon to my subscription?

No. Subscriptions already have a discount built into their pricing between the product and the shipping fee. Subscription items will be excluded from coupon codes we issue and are already exempt from Free Shipping calculations. We wish for this program to be attractive and be of value for those items you regularly use versus buying them through normal means.

Ultimately our mission is to provide a service that is of value to you. Our aim is to make it easier for you to ensure you have your favorite items at hand when you need them without having to remember to place an order. With our memberships, it is a means to try out other products without commitment to full size items to see for yourself if it is a product you would enjoy.
